Mass E-Mail Policy

Guidelines

Approval is necessary for 100+ recipients

Complete the Mass Mail Form. Upon receipt, Public Affairs will review for approval and processing on behalf of Human Resources (faculty/staff) and the Provost (students).

Public Affairs reserves the right to select the appropriate delivery mechanism. Available options include:

Maximize our limited resources

  • Limit the number and size of attachments. Put a link to a document in the body of your e-mail instead of attaching it.
  • Limit the size of your message.
  • Use delayed delivery when possible, avoiding peak hours (8am to 4:30pm Monday through Friday).
  • Use the BC (blind copy) field instead of the To field for your recipients' addresses.

Federal Regulations

The  CAN-SPAM Act applies to NIU e-mail regardless of the number of intended recipients if:

  • the content is of a commercial nature
  • there is no prior relationship with the recipients
